How to Schedule an Appointment

When you call, let our receptionist (Hiroko, just call her "Hero") know whether you are scheduling for an adult, senior or child and who you want to see (Peter or Lisa).

When you call for an appointment let us know what insurance company you have (have your card handy so we can record your information and check your coverage for you). We will also need the name and date of birth of the primary policy holder. If you have any secondary insurance, please provide us with that information at the same time.

Be sure to print and fill out the appropriate paperwork (intake and consent forms) and we will schedule your first appointment as soon as possible.

As a new patient to our clinic, your first treatment, with its careful diagnosis and interview process, will take about 1½ to 2 hours. (Don't worry, it flies by!).

Follow up treatments are generally 1 hour.

Reminder Calls

Once you schedule an appointment we will ask you the best phone number to call you to remind you of the day and time of your appointment. We always TRY to do reminder calls 1 to 2 business days prior to your appointment, however there are instances when we are unable to make these calls or leave a voicemail.

These reminder calls are a courtesy only and should not be relied upon as sole method of remembering your appointments. You are responsible for arriving at your scheduled time. Not receiving a reminder call is not an excuse to miss an appointment, so please use whatever calendar system is most effective to help you remember your appointments.

If you are unsure of your next appointment, feel free to call our office and we will be happy to look it up for you.

Treatment Experience

Acupuncture is usually administered with you laying down on a massage table in a comfortable position.

Treatments may require changing into a gown, however you also have the option to wear very loose fitting clothing instead (such as sweat pants, stretchy jeans, or shorts and a T-shirt). If needed, we have plenty of sheets, towels, and blankets to keep you well-draped and warm.

We want you to feel comfortable and we are sensitive to the needs of each individual. Please let us know how we can enhance your comfort, because the more comfortable you are, the better the treatment.

Number of Treatments

To be effective, acupuncture often requires a series of regularly scheduled treatments. The number of treatments recommended will depend on your particular condition.

Although it is difficult to predict the exact number of treatments you will need, at the time of your initial visit we can usually provide a general idea of the time necessary for you to experience positive results from your treatments.

If you have never had acupuncture before we usually recommend starting out with 3 to 6 treatments each scheduled about 1-week apart.

After each treatment we re-assess your progress and determine if and when additional treatments are necessary.

If you are a candidate for herbal medicine we typically recommend a one-week prescription of herbal "teapills". Your response to the herbs provides valuable information so that we can monitor and individualize your treatment while keeping costs down.

Nutritional modifications as well as food supplements and vitamins may be recommended.

As you start feeling better and your symptoms diminish, your acupuncture and herbal treatments will change too.

Our goal is to get you on a "maintenance program" where you receive treatments periodically for a general "tune-up". This way symptoms are less likely to return and serves as preventative medicine. For some this is a monthly visit and for others it is 4 times a year.

Fees, Payment Methods, & Discounts

One of the unique qualities of our practice is that we spend time with you. Unlike the hectic conventional medical system where you are often ushered in and out of a doctor's office so quickly you barely have time to speak, we give you plenty of time to explain your health concerns.

Our fees for services reflect not only the procedures we perform (such as acupuncture) but the time we spend with you offering nutritional advice, interpreting lab work/medical reports, going over your medications and answering questions about your health.

Our goal is not only to provide effective treatments, but create a partnership and plan for your future health and well-being.

We have several categories of fees and discounts depending on whether your visit is for a/n Adult, Child (13 years or younger), or Senior Citizen (60 years or more).

We also offer discounts for payments at the time of service. Please call our office to get the fees for your particular category.

Certain specialized therapies are offered under other categories and may be priced differently. Herbs, vitamins, supplements, essential oils, books, and other materials are priced individually.

We accept payment at the time of service in the form of check, debit card, credit card (Visa, MasterCard, Discover & American Express), Paypal (ask for our Paypal-specific email address), and cash. Many HSA cards also work through our card scanning system.

Insurance Coverage

A growing number of Health Insurance companies are reimbursing for acupuncture and other CAM (Complementary and Alternative Medicine) procedures, however each insurance plan can vary in their coverage.

There are a few insurance companies that we do work with as out-of-network providers on a case by case basis.

Explanation of Insurance Coverage:

You may have insurance coverage for acupuncture treatments as part of your health insurance benefit program. There can be great variation when it comes to deductibles and percentage of coverage for acupuncture and alternative medicine treatments. It is our goal to help delineate what your specific policy will cover and how we can best serve your needs as our patient. We will verify your insurance benefits before your initial visit if possible and then we will bill your insurance company in a timely manner for each of your visits with us.

Copayment Policy:

We require that you make your copayment for your treatment at the time of service. The specific amount will be unique to your insurance company’s benefit plan as well as your group plan if applicable. We will help to verify the amount of your copay by checking directly with your insurance company by phone or online. Please be aware that the initial visit may require a higher copay than the subsequent follow up visits.

Coinsurance Policy:

Your insurance coverage may also have something called coinsurance. Coinsurance is what your insurance company expects you to pay towards your visit over and above your copay. It typically ranges anywhere from 10% to 30% of the allowable charges. The exact dollar amount of your coinsurance responsibility can only be determined after a claim is submitted. We will send you a Billing Statement after each visit which will indicate any balance due. You can send your payment via mail, call us with your credit card number, pay at your next visit (if it is within 30 days) or stop by to make a payment.

Patient Responsibility Policy:

Sometimes your insurance company will determine that there is a remaining portion of covered and non-covered services that you need to pay for. This is often designated as your “patient responsibility” and may include (but is not limited to); deductibles, coinsurance, copays, and covered & non-covered procedures. Whatever your insurance company calculates as your “patient responsibility”, we are obligated to bill you for this balance. We will send you a Billing Statement after each visit which will indicate any balance due. You can send your payment via mail, call us with your credit card number, pay at your next visit (if it is within 30 days) or stop by to make a payment.

We have hired a person whose sole task is to check insurance benefits for our clinic’s acupuncture and CAM services and communicate that information to us. Even though we do our best to inform you of your policy’s coverage and your portion of out-of-pocket expenses, we never know the exact dollar amount until we receive the explanation of benefits (EOB) from your insurance company (about 14 to 60 days after submission of the claim).

To help you see how your individual insurance policy assigns coverage to our billed services and determines the costs that you are responsible for, we will be issuing billing statements* for each visit. These statements may indicate a balance due which is above and beyond the copay you paid at the time of service.

*If you prefer to receive these statements via email, please let us know your preferred email address and we will send them to you electronically as soon as they are available.


As health care providers, we keep a record of the health care services we provide to you. You may ask to see a copy of your record or correct your record at any time.

Your records are confidential, as required by state law, and we will not disclose your record to others unless you specifically direct us to do so in writing, or unless the law authorizes or compels us to do so.

Cancellation Policy

If you need to cancel or reschedule we ask that you do so at least twenty-four hours before your appointment time. Giving us this time allows us to contact other patients who may be waiting for an appointment. We actively maintain a Cancellation List that works very well for those who suddenly need to reschedule their appointment and those waiting to receive treatment.

If you would like to be placed on the Cancellation List for any given date or time, please let us know and provide us with the best phone number to reach you if an opening should arise.

We are aware that unexpected situations happen, so please call us when they do. We will bill you only if cancellations without twenty-four hours cannot be filled.
